Digital assistants are primarily associated with digital assistance systems such as chatbots or voicebots. However, by employing robotic process automation (RPA) it is possible for digital assistants to take over daily work processes and thus relieve employees in the long term.
Software robots, or bots, are used within the framework of RPA. A single bot is nothing more than a small piece of software that works on the level of the graphical user interface (GUI) and, in essence, takes over a process. From this level, the bot can automatically carry out all repetitive, simple work processes, without any necessary changes in the process or interface. As a result, employees do not need an additional program to use the bots.
A digital assistant can only support regular workflows in a meaningful way if it integrates seamlessly into existing processes and then takes over these processes. To achieve this, the processes to be taken over by the digital assistant must be clearly defined in advance. This makes it possible to select the software robot that best performs each task. Various manufacturers, such as our partner Automation Anywhere, already offer predefined software bots for specific purposes, which can then be used for the respective tasks.
A software bot can perform routine tasks. The processes themselves may not be too complex. Typical processes are, for example, transferring new or changed customer data: A customer’s data can be stored in different programs for different purposes. When a new customer file is saved or an existing one is changed, these changes must be made in each program. The manual transfer of this information is not only time-consuming, but also a potential source of errors, such as typing errors.
This is where the digital assistant comes in, in the form of a software bot. The bot uses the data assigned to it to collect, validate, and transfer the data to the predefined locations (programs). The big advantage of this is that the digital assistant can work across different platforms independent of interfaces.
